Microsoft Teams: Steve Gray - Shared screen with speaker view
Anne Mitchell Whisnant, Ph.D.
26:09
A question for whoever: We only need to have a way to chat amongst our staff. We are starting to use Jabber. Is there any reason that going to Teams would be better for us? In other words, for this function only, is Teams overkill?
Anne Mitchell Whisnant, Ph.D.
26:44
Sorry for “whenever”
Vanessa Simmons
27:09
Speaking from my experience only, Jabber seems to sometimes lose your chat history. So if going back to prior conversations is important to you, I'd recommend teams.
Anne Mitchell Whisnant, Ph.D.
27:21
Aha, that’s helpful! Thank you.
Vanessa Simmons
27:32
You're very welcome!
erb27
27:35
It’s super slow. Lol
Jay Gallman
28:19
I find Teams is much better if you move between devices, unlike Jabber where I tend to lose conversational threads if I switch devices.
Matt Royal
28:26
Anne, if you are also using Jabber for phone calls, Jabber certainly can do chat too. There's a talk like this later in the week that will address Jabber. Teams has a bunch of advantages even if you're mostly focused on chat, including the history Vanessa mentions. Either can be a good choice as long as your team knows which to use.
John Carbuccia
28:38
Yeah, Jabber only keeps one or two days history - it’s horrible, I wish it kept more history - that’s why we’re switching to Team in my IT support group
Megan
28:55
where was the place to download the app?
Matt Royal
29:27
https://teams.microsoft.com/downloads
Anne Mitchell Whisnant, Ph.D.
29:43
Thanks to everyone — losing the threads has already been an issue with Jabber. You are talking me into Teams as we speak! :)
Matt Royal
29:44
You can also get to Teams through https://mail.duke.edu ; log in, choose the "waffle" menu from the top left, and click Teams.
Yimin Wei, Ph.D.
32:18
You also need to request Jabber accounts for some users. You don't have to request accounts for Team.
Matt Royal
32:29
Good point Yimin!
amy
32:49
What is the purpose of a channel?
Matt Royal
34:13
Channels let you focus conversations or working groups. For example, you can have a "General" chat channel, a channel for a particular project, etc.
Nicole Ponticorvo
34:50
Do these notes connect to One Drive?
Matt Royal
34:53
That way people who are not interested in a topic don't have to pay attention to what goes on in a channel.
Anne Mitchell Whisnant, Ph.D.
35:17
Does Teams connect to Box?
Sylvia Miller
35:31
What is SharePoint?
amy
35:57
And why would we use Sharepoint?
paula.jeannet
36:09
Maybe for later: is SharePoint still going to be supported by OIT in the near future?
Anne Mitchell Whisnant, Ph.D.
36:15
Or maybe to build on Sylvia’s point, help: Sharepoint vs. Box vs. OneDrive? I thought we were being urged to use Box?
Liz Milewicz
36:29
+1 does this connect to Box?
Megan
36:57
I didn't get the difference between SharePoint and OneNote? Are these associated with Box? Can they link with Box, where all of our files are stored?
Sylvia Miller
37:09
OneDrive keeps popping up in Word when I am trying to save something, but I don’t know what it is, so I choose “my Mac.”
Megan
37:25
Can we put PHI for clinical coordination here? We need to share patient lists to coordinate our clinics right now as we move remote.
rs438
37:54
We were told NOT to use this for any PHI
Anne Mitchell Whisnant, Ph.D.
38:24
Well, and it was my experience that Duke’s OneDrive does not allow sharing files outside of Duke, whereas Box does? I think?
Anne Mitchell Whisnant, Ph.D.
40:04
Does Teams have a mobile app for chatting?
cmc7
40:10
It looks like you can upload files from your own directory - so it would be OK to upload a file from Box. But it looks like the services are not integrated, so the files would not be synched.
Jay Gallman
40:17
Ann you are correct. about OneDrive and external collaboration.
Jay Gallman
40:36
I use the Teams app on iOS all the time.
Anne Mitchell Whisnant, Ph.D.
40:44
Thanks Jay
Linda Gala
42:17
can you reorder channels in list
Jay Gallman
42:22
https://security.duke.edu/policies/duke-services-and-data-classification outlines what services can be used with what type of data
sarahellenrogers
42:31
Does he not see the questions in the chat?
Megan
42:31
There are a lot of questions in the Chat - can you go through these?
Anne Mitchell Whisnant, Ph.D.
42:42
yes so many questions here!
pab7
43:02
Do students have access to Microsoft Teams as well? Can we use this tool to collaborate with students?
Jay Gallman
43:15
Yes regarding Students
Jay Gallman
44:19
Yes channels can be reordered by clicking holding and dragging
Jay Gallman
44:45
No he cannot see the questions while he's presenting.
Dan McLamb
44:49
how is access restricted for private/non-public meetings (e.g., user name, meeting password, etc.)
Megan
45:07
Are you supposed to work on a document with Word in this Teams app? Do you download, work on it, then upload?
Jay Gallman
46:09
Megan it's possible to edit a Word document either in online mode, or by opening it in the desktop app.
John Carbuccia
46:25
Does TEAM use Zoom or WebEx when doing a video call?
Jay Gallman
46:38
There is no need to reupload it, you merely close it.
Jay Gallman
47:24
Teams uses neither to do video calls, it's video call capability is baked into the Teams application.
John Carbuccia
47:43
Thanks Jay
Megan
47:45
If we put a Box folder in the channel and work on documents there, are the files getting saved back in Box, too?
Sylvia Miller
48:31
Since I downloaded it yesterday, Teams icon appears in the footer on my Mac. Is that OK? or does that mean it’s open, and should I close it?
Jay Gallman
49:05
you will find that for Box files actual editing will require opening them in the desktop application Word/Excel etc and again saving will update.
Jay Gallman
49:34
Typically those of us running Teams leave it open all the time.
John Carbuccia
50:32
Sylvia, if you close/quit Teams, you’ll miss any conversation that may happening with your group. It’s OK to leave it open if you want to stay connected to your team, otherwise feel free to close it but you may miss out important information.
Liz Milewicz
50:34
For some reason, I don’t see Box as an option when I try to “Add cloud storage” to my team — only Sharepoint. How do I fix this (since I don’t use Sharepoint)?
Matt Royal
50:47
We'll have a separate talk on Box tomorrow at 11 AM
Liz Milewicz
51:25
Oh - my problem corrected itself after a delay! Box didn’t initially show up… than 10 seconds later, it did. Better late than never!
Megan
51:45
Can I have a Teams app on my iPhone?
John Carbuccia
52:02
YES you can - I use Teams on my iPhone
Megan
52:37
The app is asking me to sign in, but my duke netid doesn't work.
Matt Royal
52:52
Use your netid@duke.edu at first
Matt Royal
52:56
then it will send you to shibboleth
John Carbuccia
54:13
I added some users as MEMBERS and now need to change their role to OWNERS so they can add their own channels but I can’t seem to change their role UNLESS I remove them then re-add them.
John Carbuccia
55:15
Nevermind, the Arrow to change membership just appeared - I’m good
Jay Gallman
55:44
lol saves me a long answer John glad it's working!
Megan
56:14
If autosave is off, do you have to save it at the end?
John Carbuccia
56:24
IS this being RECORDED for later viewing?
cuquis robledo
56:30
What about to start a video call and schedule a video call?
Matt Royal
56:30
Yes
Jay Gallman
57:36
Megan - yes save at the end if no Autosave. Personally one of the things I like about using OneDrive or the Teams SharePoint space, is that Office apps will autosave their files.
Jesse Riggan
58:34
Is Teams limited to Duke people only?
Jill Wuenschel
59:05
@mention? Do we use the netID for this?
John Carbuccia
01:00:05
LOL
Anne Mitchell Whisnant, Ph.D.
01:00:17
Can anyone who has experience with Trello comment upon comparative advantages or disadvantages of Teams instead?
Jay Gallman
01:00:17
https://security.duke.edu/policies/duke-services-and-data-classification
Jay Gallman
01:01:55
Ann send me email jay.gallman@duke.edu with the Trello question.
paula.jeannet
01:01:58
I'd love to know what people are using for team-work that organized and connects Duke and outside people! You can send recommendations to pjeannet@duke.edu if we don't want to interrupt this session...
Vanessa Simmons
01:02:06
You may want to explain the Thread reply feature since that is different in chat vs groups
sarahellenrogers
01:02:57
Trello doesn’t have chat
Anne Mitchell Whisnant, Ph.D.
01:03:10
Thanks, I’ll email Jay
sarahellenrogers
01:03:12
It does have a commenting feature but not chat
John Carbuccia
01:03:12
I know the chatting on Jabber is someone encrypted, is the chat on Teams encrypted?
Amy Dickson
01:03:17
Teams allows you to link to MindMeister; does it allow you to link to MeisterTask?
Vanessa Simmons
01:03:46
Yes thanks matt!
John Carbuccia
01:04:35
Is Teams’ conversation encrypted>
John Carbuccia
01:04:36
?
Jay Gallman
01:04:42
Integration depends on whether the other application has undergone a vendor review by the IT Security office (my team). If the other application has been reviews, then integration may be possible.
Anne Mitchell Whisnant, Ph.D.
01:07:48
So if you add a OneNote notebook for your team, then does that “shared” notebook show up in one’s own personal OneNote as well?’
Katie Kilroy
01:09:32
Yes Anne - you can add that notebook to your one note desktop app - it will show as an actual seperate notebook
Anne Mitchell Whisnant, Ph.D.
01:09:42
Thanks Katie, that’s great!
Anne Mitchell Whisnant, Ph.D.
01:13:15
Thank you whoever that just was that talked about meeting notes! That’s exactly my use case!
Katie Kilroy
01:13:30
It was me :)
Anne Mitchell Whisnant, Ph.D.
01:13:43
Oh excellent!
Melissa Bankes
01:14:11
What are the pros and cons of using zoom for video chat or just using the video icon at the bottom of the conversation window?
Melissa Bankes
01:17:02
Is there a limit for participants for group video in teams?
Megan
01:17:07
Our team does a combo of clinical and research work - how best should we use this?
Shannon Robbins
01:18:00
Was this session recorded for future viewing? I have team members that were interested but are in other meetings.
Matt Royal
01:18:05
Yes to recorded
Amy Dickson
01:18:18
Can we get the form/link to fill out for other apps that would be nice to roll into this?
Jay Gallman
01:18:28
Megan any time there's a clarification on what's permissible from a content perspective, you can always email security@duke.edu
paula.jeannet
01:18:30
And where can you access the recordings?
Trina Rodriguez
01:18:42
please send request to trina.rodriguez@duke.edu and I will forward you the recording
Nicole Ponticorvo
01:19:09
It looks like the Teams Chat functions allows up to 100 people at one time. Here’s a link to more info: https://docs.microsoft.com/en-us/microsoftteams/limits-specifications-teams
Trina Rodriguez
01:19:35
Thank you Nicole.
John Carbuccia
01:20:01
Yeah, the quick chats are REALLY nice - much quicker than email
John Carbuccia
01:20:31
LOL
